GENERAL DESCRIPTION
The Criminal Appeals Division of the Office of the Attorney General (OAG) is seeking an Administrative Assistant whose work will involve administrative support or technical assistance for the division. Work involves disseminating information, maintaining filing systems, both in electronic format as well as hard copy, and performing internal administrative support work.

ESSENTIAL POSITION FUNCTIONS
Processes email correspondence from federal and state courts; creates new case files as they are assigned by team leaders to attorneys; prints all the documents attached to the ECF, going through PACER if necessary
Processes all mail for case files, and researches and disseminates mail either to staff or the case holder
Opens and closes case files as attorneys complete a case.
Maintains and closes suspense files, and serves as division receptionist as needed
Orders Texas Department of Criminal Justice (TDCJ) records; ensures documents are complete and accurate
Performs related work as assigned
Maintains relevant knowledge necessary to perform essential job functions
Attends work regularly in compliance with agreed-upon work schedule
Ensures security and confidentiality of sensitive and/or protected information
Complies with all agency policies and procedures, including those pertaining to ethics and integrity
Qualifications: MINIMUM QUALIFICATIONS
Administrative Assistant II:
Education: Graduation from high school or equivalent
Experience: Two years of full-time experience working in the following (or closely related) fields: Clerical or administrative support work; may substitute sixty credit hours from an accredited college or university for the required experience.
Knowledge of Outlook, Microsoft Word Suite
Skill in handling multiple tasks, prioritizing, and meeting deadlines; willingness to be trained by senior staff
Skill in effective oral and written communication
Skill in exercising sound judgment and effective decision making
Ability to receive and respond positively to constructive feedback
Ability to work cooperatively with others in a professional office environment
Ability to provide excellent customer service
Ability to work in person at assigned OAG work location, perform all assigned tasks at designated OAG work space within OAG work location, and perform in-person work with coworkers (e.g., collaborating, training, mentoring) for the entirety of every work week (unless on approved leave)
Ability to arrange for personal transportation for business-related travel
Ability to work more than 40 hours as needed and in compliance with the FLSA
Ability to lift and relocate 30 lbs.
Ability to travel (including overnight travel) up to 5%
Administrative Assistant III: All the above qualifications for an Administrative Assistant II, PLUS:
Experience: One additional year of full-time experience working in the following (or closely related) fields: Clerical or administrative support work
PREFERRED QUALIFICATIONS
Education: Associates Degree in Business Administration or General Studies
Knowledge of office practices and administrative procedures
Skill in the use of standard office equipment and software
